What should small businesses consider before upgrading their communication systems?

Our office still relies on an older phone setup, and while it mostly works, it's becoming harder to manage remote staff and growing call volumes. I'm wondering what people usually look at before switching to something newer. Is it mainly about cost, or are there other practical factors that make the biggest difference?

Cost definitely matters, but I'd also compare reliability, scalability, integration with everyday tools, and long-term maintenance. Before making a decision, I spent some time reading different industry overviews, including https://windowsreport.com/traditional-phone-systems-replacement-2026/ , because they explained what businesses should expect when replacing traditional phone systems without focusing only on pricing. That helped me understand which features would actually improve daily workflows instead of just adding unnecessary complexity.
